Booking Terms, Cancellation & Refund Policy

Last updated: 16 September 2026

These terms apply to all bookings for events, classes, workshops, experiences and multi-day retreats organised by The Curve Club.

1. About The Curve Club

The Curve Club is a sole proprietorship operated by Elektra Schreuders.

Trading name: The Curve Club
Legal structure: Sole proprietorship (eenmanszaak)

VAT identification number: NL004775543B13

In these terms, “The Curve Club”, “we”, “us” and “our” refer to The Curve Club.

“Participant”, “you” and “your” refer to the person making the booking or participating in an event or retreat.

2. Acceptance of These Terms

By purchasing a ticket, reserving a place, paying a deposit or completing a booking, you confirm that:

  • You have read and accepted these terms.

  • The information provided during your booking is accurate.

  • You meet any participation requirements stated for the relevant event or retreat.

  • You understand that participation in fitness, movement and wellness activities may involve physical exertion and ordinary physical risks.

If you make a booking on behalf of another person, you are responsible for ensuring that they receive and accept these terms.

3. Bookings and Payments

A booking is confirmed only after The Curve Club has issued a booking confirmation and received the required payment or deposit.

Places are subject to availability. A place is not guaranteed because a booking form, enquiry or payment attempt has been submitted.

Prices, payment schedules and inclusions will be stated on the relevant booking page, invoice or retreat information page.

Unless expressly stated otherwise:

  • Event tickets must be paid in full at the time of booking.

  • Retreat bookings must be paid according to the payment schedule communicated at the time of booking.

  • Any deposit paid is applied towards the total booking price.

  • Promotional codes and discounts cannot be combined.

  • Discounts cannot be applied retrospectively.

  • Failure to make a payment by its due date may result in cancellation of the booking.

Where legally permitted, transaction and booking fees charged by an external ticketing or payment platform may be non-refundable

4. Event Tickets

This section applies to single-day events, classes, workshops and similar experiences that do not include overnight accommodation.

4.1 Final Sale and Refunds

Event tickets are sold for a specific date and time. Unless mandatory consumer law provides otherwise, all event-ticket sales are final and non-refundable when a participant can no longer attend.

Not attending, arriving late or leaving early does not create a right to a full or partial refund.

4.2 Assistance With Reselling a Ticket

If you can no longer attend, you may contact The Curve Club at elektra@thecurveclub.nl and ask us to assist with reselling your ticket.

The following conditions apply:

  • The Curve Club does not guarantee that the ticket will be resold.

  • You remain the ticket holder until The Curve Club confirms in writing that a replacement participant has completed payment.

  • A refund will only be issued after the replacement participant has paid for the ticket.

  • The refund will be limited to the amount originally received by The Curve Club for the ticket.

  • External booking or transaction fees will only be refunded if they are also recovered by The Curve Club.

  • The Curve Club may require relevant information from the replacement participant, including their name, contact details, dietary requirements and relevant health or accessibility information.

  • Any price difference, promotion or discount applicable to the replacement participant must be approved by The Curve Club.

All ticket resales, exchanges, name changes and participant substitutions must be arranged through or approved by The Curve Club.

Participants may not independently sell, transfer or advertise a ticket without first contacting The Curve Club. A ticket obtained through an unauthorised sale or transfer may be refused.

4.3 Name Changes

A name change is only valid after it has been confirmed by The Curve Club in writing.

The Curve Club may refuse a substitution where the replacement participant does not meet the age, health, ability or other participation requirements of the event.

5. Retreat Bookings

This section applies to multi-day experiences that include overnight accommodation.

5.1 Retreat Inclusions

The services included in each retreat will be listed on the applicable retreat page, booking confirmation, invoice or written proposal.

Depending on the retreat, the booking may include:

  • Accommodation

  • Meals

  • Group fitness or movement sessions

  • Wellness activities

  • Workshops

  • Excursions

  • Local transportation or transfers

Anything not expressly listed as included is excluded from the retreat price.

Flights, visas, passports, insurance and personal expenses are not included unless specifically stated otherwise.

5.2 Rooms and Roommates

The selected room category is subject to availability and is only confirmed in writing.

Shared rooms may involve sharing with another participant. While The Curve Club may consider roommate preferences, we cannot guarantee a particular roommate unless expressly agreed in writing.

A request for a private room may require an additional payment and is not confirmed until approved in writing by The Curve Club.

5.3 Retreat Deposits

The deposit amount and payment schedule will be communicated before booking.

Subject to mandatory consumer and package-travel rights, the deposit is non-refundable because it contributes towards accommodation, suppliers, administration and other costs committed in advance.

6. Cancellation of a Retreat by the Participant

All cancellations must be submitted in writing to elektra@thecurveclub.nl.

The effective cancellation date is the date on which The Curve Club receives the written cancellation request.

Subject to any mandatory legal rights that apply, the following cancellation conditions apply:

  • If cancellation occurs more than 60 days before the retreat start date, amounts paid above the deposit will be refunded.

  • If cancellation occurs between 60 and 30 days before the retreat start date, 50% of the amount paid above the deposit will be refunded.

  • If cancellation occurs fewer than 30 days before the retreat start date, no refund will be provided.

No refund will be provided for:

  • Non-attendance

  • Late arrival

  • Early departure

  • Partial participation

  • Choosing not to participate in an included activity

  • Unused accommodation, meals or services

  • Personal travel disruption

  • Missed or cancelled flights

  • Failure to obtain a passport, visa or other required travel documentation

  • Failure to meet health or entry requirements

Where mandatory package-travel legislation applies, the participant retains any cancellation and refund rights provided by that legislation. Nothing in these terms limits those statutory rights.

7. Retreat Transfers and Replacement Participants

If you can no longer attend a retreat, you may ask The Curve Club whether another person can take your place.

A replacement is not automatic and must be approved by The Curve Club in writing.

Approval may depend on:

  • The replacement participant meeting the retreat requirements.

  • Supplier and accommodation restrictions.

  • Sufficient time being available to change the booking.

  • Payment of actual costs charged by accommodation providers, transport providers or other suppliers for making the change.

  • The replacement participant accepting these terms.

  • The replacement participant completing all required forms and payments.

All replacements, resales and transfers must be managed through The Curve Club. Participants may not independently sell or transfer a retreat booking.

If The Curve Club successfully resells the place to another participant, the original participant will receive a refund of the amount recovered for that place, up to the amount originally paid to The Curve Club.

Any unrecoverable supplier, transaction or amendment costs may be deducted where legally permitted.

The Curve Club does not guarantee that a replacement participant will be found or that the place will be resold.

8. Cancellation or Changes by The Curve Club

8.1 Cancellation by The Curve Club

The Curve Club may cancel an event or retreat where reasonably necessary, including where:

  • The minimum number of participants is not reached.

  • A venue or essential supplier becomes unavailable.

  • An instructor or facilitator becomes unexpectedly unavailable and a suitable replacement cannot be arranged.

  • Unsafe weather or environmental conditions prevent the experience from proceeding safely.

  • Government restrictions, travel restrictions or circumstances outside our reasonable control prevent the experience from taking place.

If The Curve Club cancels an event or retreat, participants will be offered the remedies required by applicable law.

This will generally include a refund of payments received for the cancelled experience or, where the participant agrees, a transfer or credit towards a replacement date.

The Curve Club is not responsible for separate travel, flight, visa, accommodation or other personal expenses, except where liability cannot legally be excluded.

8.2 Minimum Participant Numbers

Some events and retreats require a minimum number of participants.

Where applicable, this requirement will be communicated before booking.

If the minimum number is not reached, The Curve Club may cancel the experience and refund the payments received.

Participants are advised to avoid making non-refundable travel arrangements until The Curve Club has confirmed that the retreat or event will proceed.

8.3 Programme Changes

The Curve Club may make reasonable changes to:

  • The programme or schedule

  • The order or timing of activities

  • Instructors, facilitators or partner brands

  • Meals or menus

  • Venues, accommodation or activity locations

  • Included activities

Changes may be made because of weather, safety, supplier availability, participant wellbeing or other practical circumstances.

Where possible, a comparable alternative will be provided.

Minor changes that do not materially alter the overall nature or value of the experience do not create an automatic right to a refund.

If The Curve Club makes a significant change to a main feature of a retreat, participants will receive the options and remedies required by applicable law.

9. Weather and Outdoor Events

Outdoor events will generally continue in light rain, wind or changing weather conditions.

Participants are responsible for checking the weather forecast and bringing suitable clothing and equipment.

The Curve Club may adapt, relocate, delay, postpone or cancel an activity where weather or environmental conditions make the original programme unsafe or impractical.

If an event proceeds safely but a participant chooses not to attend because of the weather, the normal participant-cancellation policy applies and no refund will be provided.

10. Force Majeure and Extraordinary Circumstances

The Curve Club is not responsible for delays, changes or failure to perform caused by circumstances that could not reasonably have been controlled or avoided.

These circumstances may include:

  • Extreme weather or natural disasters

  • Fire, flood or damage to a venue

  • Epidemics or pandemics

  • War, civil unrest or terrorism

  • Government restrictions

  • Strikes or major transport disruption

  • Travel bans or border closures

  • Serious supplier failure outside The Curve Club’s reasonable control

The Curve Club may modify, relocate, postpone or cancel an experience in these circumstances.

Any refund, credit or alternative arrangement will be handled in accordance with applicable consumer and package-travel law.

Nothing in this section removes rights that cannot legally be excluded.

11. Travel and Health Insurance

Participants attending a retreat must arrange appropriate travel and health insurance before departure.

The insurance should, where relevant, cover:

  • Medical treatment and hospitalisation

  • Emergency assistance and repatriation

  • Participant cancellation or interruption

  • Travel delays and missed departures

  • Personal liability

  • Loss, theft or damage to personal belongings

  • The activities included in the retreat

Participants are responsible for checking that their insurance is valid for the destination and planned activities.

The Curve Club may request confirmation of insurance before an international retreat.

The Curve Club is not responsible for losses that could have been covered by appropriate travel or cancellation insurance, except where responsibility cannot legally be excluded.

12. Travel Documents and Transportation

Unless expressly listed as included, participants are responsible for:

  • Booking and paying for their own flights and transportation.

  • Arriving at the stated meeting point on time.

  • Holding a valid passport.

  • Obtaining any necessary visa or travel authorisation.

  • Meeting entry, health and vaccination requirements.

  • Checking official travel advice.

  • Providing accurate travel details where transfers are included.

The Curve Club is not responsible for missed flights, delays, denied boarding or a participant’s failure to obtain the required documentation.

If an included group transfer is missed because a participant arrives late or provides inaccurate travel information, the participant may be responsible for arranging and paying for alternative transportation.

13. Health, Fitness and Participation

Participants are responsible for deciding whether they are physically and medically able to participate.

Before attending, participants must inform The Curve Club of any relevant:

  • Injury

  • Pregnancy

  • Medical condition

  • Allergy

  • Medication

  • Disability

  • Mental or physical health consideration

  • Dietary requirement

Providing this information does not guarantee that every requirement can be accommodated.

Participants must follow reasonable safety instructions and inform the instructor immediately if they feel unwell, experience pain or believe an activity is unsuitable.

Participants may choose not to participate in an activity. However, choosing not to participate does not create a right to a refund.

The Curve Club’s activities are not medical treatment and do not replace advice, diagnosis or treatment from a qualified healthcare professional.

In an emergency, The Curve Club may contact local emergency services and the participant’s emergency contact.

Medical treatment, transportation and other related costs remain the participant’s responsibility unless applicable law provides otherwise.

14. Allergies and Dietary Requirements

Participants must disclose allergies and dietary requirements before the deadline communicated by The Curve Club.

We will make reasonable efforts to accommodate disclosed requirements, but we cannot guarantee an allergen-free environment.

Food may be prepared by venues, caterers or other external suppliers.

Participants with serious or potentially life-threatening allergies are responsible for:

  • Carrying any necessary medication.

  • Informing The Curve Club.

  • Informing the relevant venue or food provider.

  • Checking whether individual food items are suitable for them.

15. Participant Conduct and Removal

The Curve Club aims to create a safe, welcoming, respectful and inclusive environment.

Participants must not engage in behaviour that:

  • Threatens or endangers another person.

  • Harasses, discriminates against or intimidates another person.

  • Causes serious or repeated disruption to the group.

  • Damages property.

  • Involves illegal substances or unlawful conduct.

  • Disregards reasonable safety instructions.

  • Seriously affects the wellbeing, privacy or enjoyment of other participants.

The Curve Club may refuse participation in a particular activity or remove a participant from an event or retreat where reasonably necessary to protect safety, wellbeing or the group experience.

Where removal results from the participant’s own serious misconduct, no refund will be provided.

The participant will also be responsible for any additional travel, accommodation or other costs resulting from their removal.

16. Alcohol and Personal Behaviour

Where alcohol is available, participants are responsible for drinking responsibly.

The Curve Club may prevent a participant from joining an activity where their condition could create a safety risk to themselves or others.

No refund will be provided for an activity missed for this reason.

17. Personal Belongings

Participants are responsible for their own personal belongings.

The Curve Club is not responsible for loss, theft or damage to personal belongings unless caused by circumstances for which liability cannot legally be excluded.

Participants are advised not to bring unnecessary valuables and to use available safes or secure storage where provided.

18. Liability

Participation in fitness, movement, surf, wellness and outdoor activities involves ordinary physical risks.

By participating, you acknowledge these ordinary risks and agree to follow the instructions provided by The Curve Club, its instructors and its partners.

The Curve Club is responsible for loss or damage where this results from a failure to perform its legal or contractual obligations and liability cannot lawfully be excluded or limited.

To the extent permitted by law, The Curve Club is not responsible for:

  • Damage caused by a participant’s failure to follow instructions.

  • Injuries or losses connected to health information that was not disclosed.

  • Loss resulting from a participant’s own actions or conduct.

  • Services independently booked by a participant.

  • Acts or omissions of third parties unrelated to services for which The Curve Club is legally responsible.

  • Indirect or unforeseeable losses.

Nothing in these terms excludes or limits liability where doing so would be unlawful, including liability for intentional misconduct or liability arising under mandatory consumer or package-travel law.

19. Photography and Video

Photography and filming may take place during events and retreats for The Curve Club’s website, social media, advertising and promotional materials.

Participants will be informed where organised photography or filming is planned.

If you do not wish to appear in identifiable promotional images, please notify The Curve Club in writing before the event or retreat and speak to the team upon arrival.

We will make reasonable efforts to respect this preference.

Where legally required, separate permission will be requested before identifiable close-up images, interviews or testimonials are used for promotional purposes.

Participants may take personal photographs and videos provided they respect the privacy and preferences of others.

Commercial recording, redistribution of class content or filming that disrupts the experience is not permitted without written approval from The Curve Club.

20. Intellectual Property

The Curve Club’s name, branding, written materials, class concepts, programmes, retreat materials, photographs, videos and other original content may not be copied, reproduced, taught, sold or commercially distributed without written permission.

Nothing in these terms prevents participants from sharing ordinary personal photographs or personal reflections about their experience.

21. Personal Data and Privacy

The Curve Club processes personal information for purposes including:

  • Managing bookings and payments

  • Communicating with participants

  • Delivering events and retreats

  • Managing dietary, accessibility and health requirements

  • Responding to emergencies

  • Meeting legal and administrative obligations

Personal information is handled in accordance with applicable Dutch and European data-protection law, including the General Data Protection Regulation.

More information about the personal data we collect, why we collect it, how long it is retained, which third parties receive it and how participants may exercise their privacy rights is provided in The Curve Club’s separate Privacy Policy.

22. Complaints

f you experience a problem during an event or retreat, please notify The Curve Club as soon as reasonably possible so that we have an opportunity to address it.

Formal complaints should be sent to:

elektra@thecurveclub.nl

Please include:

  • Your full name

  • Your booking information

  • The relevant event or retreat

  • A clear description of the issue

  • Any relevant supporting information

We aim to acknowledge formal complaints within 14 days.

23. Applicable Law and Disputes

These terms and all bookings made with The Curve Club are governed by Dutch law.

Disputes will be submitted to the court that has jurisdiction under applicable law.

This provision does not remove any mandatory right a consumer may have to bring a claim before another legally competent court.

Before starting formal proceedings, both parties are encouraged to make a reasonable attempt to resolve the matter directly.

24. Mandatory Legal Rights

Nothing in these terms limits or excludes rights that participants have under mandatory Dutch or European consumer law or, where applicable, package-travel legislation.

Where any part of these terms conflicts with mandatory law, the mandatory legal rule will take priority.

25. Severability

If any provision of these terms is found to be invalid or unenforceable, the remaining provisions will continue to apply.

26. Changes to These Terms

The terms in force when a booking is made will apply to that booking.

The Curve Club may update these terms for future bookings.

The latest version will be published on the website together with its effective date.

Generally speaking, a Privacy Policy often addresses these types of issues: the types of information the website is collecting and the manner in which it collects the data; an explanation about why is the website collecting these types of information; what are the website’s practices on sharing the information with third parties; ways in which your visitors and customers can exercise their rights according to the relevant privacy legislation; the specific practices regarding minors’ data collection; and much, much more.
